Before you send an invoice reminder: five bookkeeping checks

An invoice appears overdue, so you send a reminder. The customer replies that they paid last week. Now you have two tasks: find the payment and repair an avoidable misunderstanding.

An unpaid-invoice list is useful, but it needs a quick review before it becomes a customer contact list. A payment may be waiting to be matched, an invoice may have been revised, or a colleague may already be handling a question. These five checks can help you follow up with clearer information.

1. Start with a current list

Open your outstanding-invoice report and check its date. A saved spreadsheet from earlier in the month may no longer reflect payments received or changes made since then. Use one agreed source for the review and note when it was last updated.

For each invoice, confirm the customer, invoice number, original amount, remaining balance and due date. Separate invoices that are not yet due from those needing attention. This keeps a routine status check from becoming an unnecessary overdue notice.

2. Look for payments before asking again

Review recently received payments and any receipts that have not yet been matched to an invoice. Compare the amount, payer name, payment reference and date. A customer may use a different trading name, pay several invoices together, or make a partial payment.

Do not mark an invoice paid simply because a deposit looks similar. If the link is unclear, ask for the remittance details or have your bookkeeper investigate. Equally, avoid recording the same receipt twice when a payment already exists elsewhere in the system. The aim is to confirm the match, not make the list shorter at any cost.

3. Check credits, revisions and open questions

Before contacting the customer, look for an agreed credit, a replacement invoice or an unresolved query about the work. A reminder for the original amount can be confusing if a change has already been discussed but not reflected in the records.

Keep the supporting correspondence with the invoice or in your agreed customer-record location. If a correction is needed, use your normal approval process and retain a clear record of what changed. Do not delete or overwrite an invoice just to remove it from an overdue report.

4. Send a clear, neutral reminder

Once the balance is checked, make the message easy to act on. Identify the invoice number, remaining amount and due date, and include a copy or your established secure invoice link. Confirm that the message is going to the right billing contact.

Use a neutral tone: ask whether they received the invoice and whether anything is needed to process it. If payment has already been sent, ask for the payment date or reference so you can locate it. Avoid including unrelated account information or other customers' details. A helpful reminder should resolve the next question, not create several new ones.

5. Record the outcome, not just the email

After following up, add a short note with the contact date, response and next action. If the customer gives an expected payment date, record it as an expectation rather than treating it as money already received.

Assign one person to the next follow-up so two team members do not send competing messages. At the next review, check for the payment before sending another reminder. If the customer raises a dispute or asks for different terms, route that decision to the appropriate person rather than silently changing the records.

Make invoice follow-up part of the routine

A brief weekly review can keep your invoice list useful without turning every day into collection day. Start with current records, confirm incoming payments, and give each unresolved item a clear next step. Consistent notes also make it easier for someone else to cover the task when you are away.
